Microsoft Bookings: Setup, Calendar, Services & Client Access

Sync your Microsoft Booking calendars with eimmigration so clients can schedule appointments themselves.

Summary

Microsoft Bookings integration brings your booking calendar into eimmigration and lets clients schedule appointments directly through the client portal. Once connected, your Bookings appointments appear in your eimmigration calendar automatically, and clients can book time with their assigned caseworker without manual coordination. In this article, learn how to connect your Bookings account, pair staff with caseworker profiles, and give clients access to schedule their own appointments.

Access

Microsoft Bookings is part of the Scheduling Premium Feature. It's included automatically with the Complete and Legacy Plan C plans. On other plans—including Essentials, Starter, Legacy Plan B, and Legacy Plan A—you can add it as a Premium Feature. Contact your Account Manager to add it to your plan.

Connect your Microsoft Bookings account

Note: You'll need an Office 365 admin account to connect Bookings for your whole staff.

You can connect your Microsoft Bookings account to your eimmigration account in the Admin Portal.

  1. Go to Settings > Administrative Tools.
  2. Select Application Settings.
  3. Select the Calendar tab.
  4. Scroll down and select Connect to Microsoft Bookings.
  5. Sign in to your Office 365 account when prompted.

Once connected, you’ll see a list of all your Bookings staff members in eimmigration. The system will try to pair each one with a matching caseworker profile.

Pair staff with caseworker profiles

If a Bookings staff member's email matches a caseworker profile's email, eimmigration pairs them automatically.

If a match isn't found:

  1. Search for the caseworker profile you want to pair.
  2. Select it to pair it with the corresponding Bookings account.
  3. Select Save.

View booking appointments in your calendar

You can view all booked appointments from the Calendar tab inside the Caseworker Portal.

  1. Go to Settings > Caseworker Module.
  2. Select Calendar from the left sidebar.
  3. Select Office 365.
  4. Sign in to your account if prompted.

You'll see your Office 365 appointments, including any created through Bookings. Select an appointment to view or modify its details, including time changes.

Let clients book appointments

Before a client can book an appointment, they need client portal access, and their assigned caseworker needs to be linked to their profile.

  1. Go to the client's profile.
  2. Select the Client Access tab.
  3. Confirm the client has portal access. If they don't, create it here.
  4. Scroll to Access to Schedule Appointments via Microsoft Bookings.
  5. Select which available calendars the client can book appointments on.

Available calendars correspond to the services set up in your Bookings account. To add or update services, make changes in Bookings. Updates are reflected in eimmigration automatically.

What clients see:
  1. The client logs in to the client portal.
  2. The client selects Schedule Appointment.
  3. The client selects an available appointment type.
  4. The client selects a specific caseworker, or chooses to book with anyone available. (Note: Caseworkers only appear as an option if they're linked to the client's profile and assigned to that service in Bookings.)
  5. The client selects a date and time, adds any notes, and selects Confirm.

Both the client and your firm receive an email confirmation. The appointment appears on your Office 365 calendar in eimmigration.

Tips

  • If a caseworker isn't showing up as a bookable option for a client, check that they're linked to the client's profile and assigned to the right service in Bookings.
  • Make service changes directly in Microsoft Bookings. eimmigration reflects them automatically.
