Sign Documents with Document Signing

Add fillable fields to your custom forms and collect client signatures inside eimmigration

Summary

Document Signing lets you turn any PDF into a fillable, signable form your clients can complete right in the client portal. It's built for capturing signatures on retainer agreements and other client-facing documents, works on any device, and can replace tools like DocuSign for firms that want signature collection built into their case management workflow. Every signed document gets a tamper-evident seal, so once a client signs, the document can't be altered. In this article, learn how to upload a custom form, add fillable and signature fields, send it to a client, and review a signed document once it's returned.

Access

Document Signing is a Premium Feature. It's included automatically with the Complete and Legacy Plan C plans. On other plans—including Essentials, Starter, Legacy Plan B, and Legacy Plan A—you can add it as a Premium Feature. Contact your Account Manager to add it to your plan.

Upload a custom form

Before you can send a form for signature, you'll need to upload it as a custom form template.

  1. Go to Settings > Administrative Tools.
  2. Select Custom Form Templates.
  3. Select Add Custom Form.
  4. Enter a name and description for the form.
  5. Mark the form as enabled.
  6. Choose whether the form is an FAR template or a PDF template.
    1. Note: FAR templates are custom forms eimmigration has built for you.
  7. If you're uploading a PDF, select Choose File and locate the PDF on your computer.
  8. Select the appropriate form category.
  9. Select Save.

Add fillable and signable fields

After you save your form, eimmigration opens the field editor so you can make the form interactive.

  1. Select the field type you want to add: text box, date box, checkbox, or signature box.
  2. Select where you want to place the field on the form, and set its width.
  3. Repeat for each field you want to add.
  4. Select Save when you're finished.

To edit an existing form's fields, go to Custom Form Templates, find the form, and select Edit Field Layout.

Add a form to a case

Once your form is set up, you can attach it to any case that needs it.

  1. Open the case you want to add the form to.
  2. Go to the Forms section.
  3. Select Add Forms.
  4. Select Custom Form, then select Find. Leave the search fields blank to see all your custom forms, or search by name.
  5. Select the checkbox next to the form you want, then select Add and Close.

Send a form to a client for signature

With the form added to the case, you're ready to send it to your client for review and signature.

  1. From the case's Forms section, select the form to open it.
  2. Fill in any information you want to complete before sending, then select Save.
  3. Select the form, then select Email Form as Editable HTML.
  4. Choose the default message or select your own email template.
  5. Select who you're sending the form to, then select Email.

If the client doesn't have client portal access yet, select their name to go to their client profile. From the Client Access tab, you can create their access or email them their login credentials.

What clients see

Clients receive an email directing them to the client portal.

  1. The client selects the link and logs in to the client portal.
  2. The form appears in their mailbox. The client selects it, then selects Open.
  3. The client reviews the electronic record and signature disclosure and selects I Agree.
  4. The client reviews the form, signs (drawn or typed), and adds a date.
  5. The client selects Submit to send the completed form back.

Review and accept a signed form

Once a client submits a signed form, it appears in your mailbox.

  1. Go to your mailbox and find the submitted form.
  2. Select Open to review the client's signature and the date provided.
  3. If everything looks correct, select Accept. If something needs correction, you can send it back to the client.

Once accepted, the signed form appears in the case's Forms section.

 Document Signing vs. Electronic Signatures

Both features collect a client's signature, but they solve different problems—choose based on what you're signing.

  • Use Document Signing when you need a signature on something that isn't one of eimmigration's standard case forms—a retainer agreement, an engagement letter, or any custom PDF you design with your own fillable fields. It's a Premium Feature, included with Complete and Legacy Plan C, or addable to other plans through your Account Manager.
  • Use Electronic Signatures when you need a signature on one of eimmigration's standard case forms, sent the same way you'd send any form as Editable HTML. An administrator turns it on through Application Settings.

Tips

  • Fill in any information you already have before sending a form, so your client only needs to review and sign.
  • Review a submitted form carefully before accepting. Once accepted, the signature is recorded on the case.
  • If you make any changes to the document after it has been signed, the signature will be nullified.
